Fee Reminder Message for Parents: What to Write

Asking for money is the part of teaching most tutors dislike. A good fee reminder message for parents makes it less painful, because the wording does the awkward work for you. A few small choices decide whether you get a quick reply or a cold silence.

When should I send it?

A day or two after the usual due date, not the moment it passes. Parents forget more often than they refuse. An early nudge feels like distrust. A reminder three weeks late feels like you were hiding a problem.

How long should the message be?

Short. Two or three lines. A parent reads it between other things, so it has to make sense at a glance.

Include the child's name, the month and the amount. Leave out lectures about how hard your work is.

What tone works?

Warm and plain. You are not a bank. Start with a greeting, state the fact, and end by making it easy to answer.

Here are two versions you can adapt. Change the names and the numbers.

English

"Assalam o Alaikum. This is a quick reminder that the tuition fee for Hamza for October, 4000 rupees, is still pending. Please let me know when it is convenient to send. Thank you."

Roman Urdu

"Assalam o Alaikum. Bas yaad dihani thi ke Hamza ki October ki tuition fee, 4000 rupay, abhi baqi hai. Jab suvidha ho bata dijiye ga. Shukriya."

Both do the same three things: name the child, name the month and amount, and ask for a reply without pressure.

What if the parent has not replied?

Wait a few days and send one more message, slightly more direct. Then, if there is still nothing, speak to the parent by phone. A call settles in two minutes what five messages cannot. Your time is worth the call.

Should I mention a late fee?

Only if you told the family about it at the start and they agreed. Springing a penalty on someone who never heard of it will cost you more than the money is worth. If you have no such rule, do not invent one halfway through the term.
